As a Payroll Specialist at HeadFirst Group, you will be responsible for ensuring that payroll and personnel administration is accurate, timely, and complete. You will work within the HR team and be the first point of contact for employees and management in the areas of payroll, legislation and regulations, and employee benefits. You will be joining an organization with multiple entities and a complex payroll system, where quality, reliability, and professionalism are essential. In this senior role, you will combine executive responsibility with in-depth knowledge and actively contribute ideas on how to further improve and professionalize payroll and HR processes.
Your impact at HeadFirst Group
In this role, you will ensure flawless monthly payroll processing for more than 300 employees spread across multiple Dutch entities. You will monitor the quality of the payroll administration and take independent responsibility for complex cases, interpreting laws and regulations, and ensuring payroll quality within the organization.
You will act as a sparring partner for HR, Finance, and managers on issues relating to payroll taxes, leave arrangements, illness and incapacity for work, WKR, and employee benefits such as pensions and insurance. You will also check payroll journal entries, liaise with Finance, and provide support during audits and inspections.
You will work closely with HR colleagues, Operations, and Finance. Within the team, you will play an important role in quality assurance, resolving exceptions, and assisting colleagues with more complex payroll issues. You will also actively contribute to the further optimization of processes and systems, including the upcoming implementation of Workday alongside AFAS.
What will you do?
Ensuring correct application of laws and regulations (including leave, sickness, social security, and payroll taxes);
Managing and applying the Work-related Expenses Scheme (WKR);
Preparing payroll tax returns and annual statements;
Processing and checking changes in salary and personnel data;
Identifying and implementing improvements in payroll processes and controls;
Monitoring and improving the design of payroll processes, including documentation and audit trail;
Act as a substantive point of contact for more complex payroll issues and exceptions;
Contributing ideas on further standardization and automation of HR and payroll processes within the organization.

You are an experienced Payroll Specialist who feels comfortable in a complex environment and takes ownership of quality and continuity. You work accurately, think ahead, and know how to translate regulations into practice. In addition, you bring the following to the table:
A completed Practical Diploma in Payroll Administration (PDL) course. VPS is a strong advantage;
At least 5 years of experience as a payroll administrator, preferably in an organization with multiple entities;
Up-to-date and thorough knowledge of Dutch payroll taxes, social security, leave arrangements, and WKR;
Experience with employee benefits, including pensions and insurance;
Experience with payroll and HR systems; AFAS is a must, experience with or interest in Workday is an advantage;
Strong analytical skills and affinity with numbers, data, and controls;
Good communication skills and a service-oriented attitude;
Excellent command of the Dutch language; English is a plus.
